When a division is full: the team waitlist

Some team divisions have a cap on how many teams they take. Once every spot is held, the division shows Full — waitlist on the team step of registration, and your team can join its waitlist instead.

What does "full" mean?

A team holds its spot once its captain has registered and paid. A team that was started but never paid for doesn't count, so an abandoned signup can't push you onto the waitlist. Once anyone is waiting, any spot that opens goes to the waitlist first, not to the next team that happens to sign up.

How do I join the waitlist?

Pick the full division, then fill in your team name, city and your own contact details, and click Join the waitlist. You'll see your place in line straight away.

Do I pay or invite my players while we wait?

No. Nothing is charged and no players are invited while you're on the waitlist. Wait until your team is offered a spot.

How are teams let in?

The organizer decides when to admit teams, and often lets them in a group at a time (for example, four teams at once). Teams are offered spots in the order they joined. Nobody is admitted automatically.

What happens when a spot opens for us?

You get an email with a link to claim the spot. The spot is held for your team for 48 hours. From three weeks before the event, that drops to 24 hours. To claim it, open the link, create your team and complete your own captain registration and payment. Only the captain needs to register to lock in the spot; your players can join after.

What if we don't claim it in time?

The spot goes to the next team in line, and your team leaves the waitlist. If you already know you can't make it, use the give the spot to the next team button on the offer page so the next team is offered it straight away.

Can we play in another division while we wait?

Yes. The waitlist card lists the divisions that still have room. You can register your team in one of them now and keep your place in line. If a spot opens in the division you're waiting for, the offer page lets you move that team over, with its roster and payments. Nothing moves automatically; you choose. If you'd rather stay where you are, give the spot up and the next team gets it.

A move works only within the same sport, and only if your roster fits the new division (age range and gender rules, for example). Once pools are published, teams can't switch divisions themselves; only the organizer can move a team.

Does a spot mean we're on the schedule?

Not by itself. Your team still needs the event's minimum number of fully registered and paid players by the roster deadline to be scheduled. The waitlist confirmation and the offer email both tell you the number and the date.

What if the waitlist closes before we get in?

The organizer can close a waitlist. Everyone still waiting gets an email that lists any divisions that still have room, so you can register there instead.
